We are committed to protecting the privacy of the families, prospective families, and visitors who interact with us.
This Privacy Policy explains what personal information we collect, how we use and share it, how we protect it, and the choices and rights available to you. It applies to information collected through our Site, our Facebook and Instagram pages (including Facebook Lead Ad forms), our waitlist signup, email communications, phone calls, and in person at our centre.
By using our Site or submitting information to us — including through a Facebook Lead Ad form or our waitlist — you acknowledge that you have read and understood this Privacy Policy.

3. Information We Collect
a) Information You Provide to Us Directly
When you contact us, join our waitlist, or submit an inquiry — including through a Facebook or Instagram Lead Ad form — we may collect:
- Your name
- Your phone number
- Your email address
- Your child’s age
- Your desired daycare start date
- Whether you are looking for before/after-school care or full-time care
- Any additional information you choose to share with us, for example during a tour, phone call, or email exchange
If your child is later enrolled at Caterpillar & Co., we collect additional information as part of the enrollment and licensing process, such as emergency contacts, health and allergy information, and other details required under Ontario’s child care licensing regulations. Enrollment information is collected primarily offline through paper or in-person forms and is protected under the same principles set out in this Policy.
b) Information We Collect Automatically
When you visit our Site, we and our service providers may automatically collect standard technical information such as IP address, browser type, device type, pages viewed, and time spent on the Site, along with information gathered through cookies and similar technologies, including the Meta Pixel (see Section 5).
c) Information from Facebook and Meta
When you submit a Facebook or Instagram Lead Ad form, Meta shares the information you entered in that form with us. We only receive the fields you fill in — we do not receive your broader Facebook or Instagram profile beyond what Meta’s Lead Ads feature provides to advertisers.
4. How We Use Your Information
We use the personal information we collect to:
- Respond to your inquiry and provide information about our programs
- Contact you to discuss your child’s age, start date, and care needs, and to schedule a tour
- Follow up to collect any additional details needed to assess fit and availability
- Manage our waitlist and notify you when space becomes available
- Operate, maintain, and improve our Site
- Understand how visitors find and use our Site, including through advertising
- Run and measure the performance of our Facebook and Instagram advertising, including retargeting ads (see Section 5)
- Comply with legal, regulatory, and child care licensing obligations
- With your consent, send you newsletters or promotional communications (see Section 4.1)
4.1 Newsletters and Promotional Communications
We do not currently send newsletters or promotional emails, but we may begin to do so in the future. If we do, we will only send marketing communications where we have your consent, express or implied, as permitted under Canada’s Anti-Spam Legislation (“CASL”), and every message will include a clear way to unsubscribe. You may withdraw consent at any time using the unsubscribe link or by contacting us directly.
5. Cookies, the Meta Pixel, and Online Advertising
We use, or intend to use, tracking technologies including the Meta Pixel (and potentially the Meta Conversions API) to understand how visitors interact with our Site and to run more effective advertising on Facebook and Instagram, including retargeting ads shown to people who have previously visited our Site.
These tools may collect information such as:
- Pages you visit on our Site and actions you take
- Device and browser information
- IP address
- Whether you arrived at our Site from a Facebook or Instagram ad
This information is shared with Meta Platforms, Inc. and/or Meta Platforms Ireland Limited and may be used to show you Caterpillar & Co. ads based on your prior visits to our Site, and to help us measure ad performance. Meta’s own use of this information is governed by Meta’s Privacy Policy and Data Policy, available at facebook.com/policy.php.
You can manage how Meta uses your information for advertising through your Facebook and Instagram ad preferences, and you can manage or block cookies through your browser settings. Blocking cookies may affect how parts of the Site function.
6. How We Share Your Information
We do not sell your personal information. We share it only in the following circumstances:
- With Meta Platforms — as described in Section 5, when you interact with our Facebook or Instagram ads, submit a Lead Ad form, or visit our Site, through the Meta Pixel
- With service providers — such as our email and waitlist management platform, who process information on our behalf under contractual confidentiality and security obligations
- For legal reasons — where required to comply with the law, child care licensing obligations, a court order, or to protect the rights, property, or safety of Caterpillar & Co., our families, or others
- With your consent — for any other purpose we’ve disclosed to you at the time you provide information
7. Photos, Videos, and Testimonials
From time to time, we feature photos and videos of children enrolled at Caterpillar & Co. on our Site and social media, including our Gallery page and Facebook/Instagram accounts. We only use a child’s photo or video after obtaining permission from that child’s parent or guardian. If a parent or guardian does not consent, we do not feature their child’s image. Parents may withdraw consent at any time by contacting us, and we will remove the relevant content going forward.
Testimonials shared on our Site are provided voluntarily by parents with their permission.
8. Data Retention
We keep personal information only as long as reasonably necessary for the purposes described in this Policy:
- Waitlist and inquiry information is retained until enrollment, until you ask us to remove it, or until it’s no longer needed for the purpose it was collected for
- Enrolled family and child records are retained in accordance with Ontario’s child care licensing requirements under the Child Care and Early Years Act, 2014 and its regulations
We recommend confirming exact retention periods for enrolled children’s records with your licensing consultant, as these are set by regulation and may change.
9. Your Privacy Rights
Depending on where you’re located, you may have the right to:
- Access the personal information we hold about you
- Correct inaccurate information
- Withdraw consent to future collection, use, or communications
- Request deletion of your information, subject to our legal and licensing obligations
- Ask how your information is collected, used, or shared
To exercise these rights, contact us at info@caterpillarco.com. We will respond within a reasonable time in accordance with Canada’s Personal Information Protection and Electronic Documents Act (“PIPEDA”).
If you’re not satisfied with our response, you may file a complaint with the Office of the Privacy Commissioner of Canada (priv.gc.ca). Where applicable law in your jurisdiction — such as the EU/UK GDPR or California’s CCPA/CPRA — grants additional rights, we will honour valid requests made under those laws as well.
10. How We Protect Your Information
We use reasonable administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, use, disclosure, or loss. No method of transmission or storage is completely secure, but we take steps appropriate to the sensitivity of the information we hold, particularly information relating to children.
11. Children’s Privacy
Our programs serve children ages 9 months to 4 years, but our Site and online forms — including our waitlist and Facebook/Instagram Lead Ads — are directed at, and intended to be used by, parents and legal guardians, not children. We do not knowingly collect personal information directly from children online. Any information about a child is provided to us by a parent or guardian.
12. Third-Party Links
Our Site may link to third-party websites or platforms, such as Facebook, Instagram, or Mailchimp. We are not responsible for the privacy practices of those third parties and encourage you to review their privacy policies separately.
13. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or for legal reasons. Updates will be posted on this page with a revised “Last Updated” date. We encourage you to review this Policy periodically.
